Terms & Conditions for Exhibitors

These terms are between Novara Consulting Group LLC ("we", "us"), which runs WorkReadyMN, and the organization named on the application ("you"). They apply to every organization taking a table, booth, vending space or sponsorship at any WorkReadyMN event. Using this website is covered separately by our Terms of Use, and how we handle personal information is covered by our Privacy Statement.

You agree to these terms when you apply. We keep a record of which version you agreed to and when.

  1. Your space. Your space is held once we approve your application and receive payment in full. Until both have happened it is not reserved, whatever stage your application has reached. We assign locations, and we may move you if the floor plan changes. You may not sell, sublet, share or transfer your space to another organization without our written agreement. Power is limited, so please come charged unless you asked for power on your application and we confirmed it.
  2. Fees, payment and cancellation. Fees, rates and any deadlines are stated on the event page and on your invoice. Payment is due by the date on the invoice. Our Refund Policy governs cancellations, transfers and refunds, and forms part of these terms. A rate offered before a stated deadline applies only if we receive payment by that deadline.
  3. Real jobs, real pay. If you are recruiting, post your open positions ahead of the event with a job title, location, pay range, shift and requirements, and bring at least one person who can interview or screen at your table. Keep your postings accurate: if a position fills or closes before the event, mark it filled on your booth page. Do not advertise a position you are not actually hiring for. Do not charge job seekers a fee of any kind, for an application, a background check, training, equipment or anything else, and do not require a purchase as a condition of being considered.
  4. Treat people fairly. Treat every job seeker with respect. Follow all applicable employment, wage, labor and anti-discrimination law, including Title VII of the Civil Rights Act, the Americans with Disabilities Act, the Age Discrimination in Employment Act and the Minnesota Human Rights Act. Accept paper applications, or help people apply online at your table. Harassment, slurs and intimidating behavior are not acceptable at any of our events.
  5. Access. Our events are open to people with disabilities and we provide communication support, including ASL interpreters, at events where we have said we will. If someone needs support you cannot provide, bring them to our staff. Do not turn anyone away, refuse to speak with them, or cut a conversation short because of a disability, and do not ask a person about a disability except as employment law allows.
  6. Job seeker information. This clause is the one we enforce most strictly. Resumes, contact details, application forms and anything else a job seeker gives you at or through one of our events may be used only to consider that person for employment at your own organization. You may not sell it, rent it, trade it, share it with another organization, add it to a marketing list, or use it to contact people about anything other than employment with you. Keep it secure, limit it to staff who need it for hiring, and delete it when you no longer need it for that purpose or when the person asks you to, whichever comes first. Do not photograph, scan, copy or collect attendee information in bulk, and do not use automated tools to do so. Tell us within 3 business days if information you received through one of our events is lost, stolen or disclosed to anyone else. You remain responsible for following data protection law that applies to you.
  7. Tell us how it went. About 60 days after the event we will send you a short form asking how many people from the event you interviewed, made offers to and hired, along with job titles and pay. We ask for numbers only and never for names. We report totals, and we will name your organization or tell an individual hire's story only with permission. This reporting is how the program is funded and evaluated, so please complete it.
  8. Your name, logo and postings. You give us permission to use your organization's name, logo, job postings and the description you supply to promote the event and the program, on the event page, in printed material, on signs and screens, in email, on social media and in reports. This permission covers promotion of this event and of the program generally, continues for archived event pages and past reports, and otherwise ends when you ask us to stop using it. You confirm you have the right to give us this permission and that what you supply does not infringe anyone else's rights. We may decline or remove content that is inaccurate, inaccessible, unlawful or does not follow these terms.
  9. Photography and recording. We and people we authorize may photograph, film and record at our events, and may use that material to promote the program. If you would rather your space not be photographed, tell our staff and we will respect it. If you want to photograph or record anything beyond your own space and your own staff, ask us first, and ask the people in the shot.
  10. At the venue. Follow the venue's rules, including its rules on fixings, and use painter's tape only on walls. Set up and clear out within the times we give you. You are responsible for your own materials, equipment and displays at all times. Neither we nor the venue is responsible for loss, theft or damage to your property. Leave the space as you found it. You are responsible for the cost of repairing any damage you cause.
  11. Insurance. You are responsible for insuring your own property, staff and activities, and for carrying whatever insurance the law and your own circumstances require, including workers' compensation for your staff. Some events require you to carry general liability insurance and to show a certificate before the event. Where that applies, the event page and your application will say so.
  12. Conduct, and when we can ask you to leave. We may refuse an application, and we may end your participation at any time, including during the event, if you break these terms, break the law, behave in a way that puts people at risk, harass or discriminate against anyone, or misrepresent who you are or what you are hiring for. We will be fair about it and will usually raise a concern first, but we do not have to where someone's safety is involved. If we end your participation for one of these reasons, no refund is due.
  13. If plans change. If we cancel, postpone or move an event, we will tell you as soon as we can. Your space moves to the new date, or to a later event, or is refunded, as set out in our Refund Policy. If something outside our reasonable control prevents the event from going ahead, including severe weather, loss of the venue, a public health order, a utility failure or a government restriction, neither of us is in breach of these terms, and the Refund Policy decides what happens to the fee.
  14. What we do not promise. We bring people and employers together. We do not promise how many people will attend, who will visit your space, or that you will receive applications, conduct interviews or make any hire. We are not your agent and we do not employ, screen, endorse or vouch for anyone who attends. Hiring decisions and the employment relationship are entirely yours, as is compliance with employment law in your own hiring.
  15. Responsibility and limits. Nothing in these terms limits liability that cannot be limited by law, including liability for death or personal injury caused by negligence, or for fraud. Subject to that, neither of us is liable to the other for lost profits, lost business, lost opportunity or indirect or consequential loss, and our total liability to you in connection with an event is limited to the fee you paid us for that event.
  16. Covering us for what you do. You will cover us against claims, losses and reasonable costs that arise from your participation, from what you post or supply, from your hiring practices, from your use of job seeker information, or from your breach of these terms. We will tell you promptly about any such claim and will not settle it without asking you.
  17. Independent organizations. These terms do not make either of us the other's employee, agent, partner or joint venturer, and neither of us may commit the other to anything.
  18. Authority to agree. The person who agrees to these terms confirms that they are authorized to agree on behalf of the organization named on the application, and that the information in the application is accurate.
  19. Changes to these terms. We may update these terms. If we change them after you have applied, the version you agreed to continues to apply to that event, unless the change is needed to comply with the law. Each version is numbered and dated, and we keep a record of the one you agreed to.
  20. Which law applies. These terms are governed by the law of the State of Minnesota, and the state and federal courts serving Sherburne County, Minnesota are the place for any dispute. Please raise a concern with us first. Most things are quicker to fix by email than any other way.
  21. The whole agreement. These terms, the Refund Policy, your application and your invoice are the whole agreement between us about your participation, and replace anything said beforehand. If any part of them is found to be unenforceable, the rest continues to apply.

Refund Policy

This policy covers fees paid to Novara Consulting Group LLC for taking part in a WorkReadyMN event as an exhibitor, vendor or sponsor. It forms part of the participation terms you agreed to when you applied.

Attending as a job seeker is free, so there is nothing to refund.

IF YOU CANCEL

Tell us in writing at heather@workreadymn.com. The date we receive your email is the date we use.

More than 30 days before the event: full refund, or move your fee to a later event, whichever you prefer.

15 to 30 days before the event: we refund half, or move your whole fee to a later event. Moving it keeps the full value, so most organizations choose that.

14 days or fewer before the event: no refund. By then your space is committed, printed material naming you has usually gone out, and we cannot fill the space. You may still send different staff in your place at no charge, or ask us to move your fee to a later event. Moving it this late is at our discretion and we will not unreasonably refuse.

Not turning up, without telling us: no refund.

IF WE CANCEL, POSTPONE OR MOVE THE EVENT

You choose: a full refund, or your fee moved to the rescheduled date or a later event. We will tell you as soon as we can and will ask you which you would like. If we do not hear from you within 30 days, we move your fee to the next comparable event and tell you we have done so.

This is the same whether the cancellation is our decision or is forced on us by something outside our control, such as severe weather, loss of the venue, a public health order or a government restriction.

SPONSORSHIPS

A sponsorship is refunded on the same timetable, with one difference: if any part of what you paid for has already been delivered before you cancel, such as your logo on printed flyers, on signs already produced, or in email already sent, we deduct the direct cost of what was produced. We will show you those costs.

IF WE END YOUR PARTICIPATION

If we end your participation because you broke the terms, no refund is due. This is set out in the participation terms.

HOW REFUNDS ARE PAID

Refunds go back to the original payment method. Card refunds usually reach you within 5 to 10 business days once we issue them, depending on your bank. If you paid by check or transfer, tell us where to send it and allow up to 30 days.

We refund the fee you paid us. We do not deduct card processing fees from your refund.

If you have an unpaid invoice and cancel, the same timetable decides what you still owe.

CHANGING WHO ATTENDS

Sending different people from the same organization is free and needs no notice. Tell us the names before the event if you can, so the badges are right.

Transferring your space to a different organization needs our written agreement, which is covered in the participation terms.

QUESTIONS AND DISAGREEMENTS

Ask us at heather@workreadymn.com. If you think this policy has been applied unfairly, say so and a person will look at it again. We would rather sort it out directly than have you take it further.

Your place is not held until this is finished

Sending this form, and paying if there is a fee, is the first part. We also need you to answer 8 more questions.

You do not have to do it now. When you send this form we will give you a private link back to this registration, and email it to you, so you can finish it whenever the paperwork is to hand.

Until it is all in, the table is not confirmed. We would rather say that plainly now than have you find out the week of the event.

What happens next

  1. We read what you sent. A person checks it rather than a form taking the booking automatically.
  2. You get an email either way, usually within a few working days.
  3. If it is approved, that email carries your invoice and a private link to pay by card, or print it and pay another way.
  4. Nothing is charged now. Sending this does not take a payment.
