What we collect when you use this site or take part in an event, why, who sees it, how long we keep it, and the choices you have.
Only what an event needs
When you register
Your name and email, and the details an event asks for, such as phone, organization, county or ZIP code, your ticket and whether you attend in person or online. We use them to run the event, send your confirmation and reminders, and count attendance by region. You do not need an account: a private link in your email lets you change or cancel.
When you ask for an accommodation
What you need and how to reach you. Only the staff who arrange accommodations can see the details. The details are deleted 90 days after the event ends; we keep only the type of accommodation, without your name, to plan future events.
When you exhibit, vend or sponsor
Your organization’s details and contact person, and what you put on your booth page. Contact details of your team are shown to visitors only if each person chooses to show them. Messages visitors send through the site reach you without showing your email address.
When you pay
Payments are made on Stripe’s secure page. Your card details go to Stripe, never to this website. We keep the amount, the date and Stripe’s reference.
When you check in
The time you checked in. When you check in on your own phone, we also keep a scrambled code made from your internet connection (not the address itself) and the kind of device, to prevent duplicate check-ins. Both are deleted after 30 days.
Feedback, questions and stories
Your answers to event feedback surveys and live questions. Some surveys are anonymous; the survey says so. Stories are published only with your permission, show your name only the way you choose, and can be removed by you at any time.
When you contact us
Your name, email, topic and message, so we can reply.
What we send and how to stop it
- About an event you signed up for: confirmations, reminders, and updates such as a room change. Update emails are on when you register; turn them off with the link in any update email or your confirmation. Important notices, like a cancellation, are still sent.
- Following an event: if you ask for updates without registering, we first email you a link to confirm. Every email has a link to stop.
- Event news from this site: only if you check the box, with a link to unsubscribe in every email.
Who else handles information
- Google Maps: when you ask for directions, the starting point you enter is sent to Google to plan the trip. We do not save it. Nearby places on event pages also come from Google.
- Stripe processes payments.
- Zoom may host online events; if an event uses Zoom registration, your name and email are shared with Zoom so you get your personal link.
- AI assistance: staff may use an AI service to tidy event text. Names, email addresses, phone numbers and accommodation details are never sent to it.
- Email delivery and site security services send our emails and protect the site from attacks.
Small files that help the site work
We do not use cookies for advertising. The site stores a few small items in your browser so it works properly: your display choices, and cookies that keep an exhibitor signed in to their booth page for up to 12 hours, remember an access code you entered for up to 30 days, remember that you already answered a live question, and show an important notice only once.
You are in control
- Change or cancel a registration with your private link.
- Turn update emails off at any time.
- Remove a story you shared with your private link.
- Ask us what information we hold about you, or ask us to correct or delete it, using the contact form or heather@novaracg.com.
